Safeguarding, Code of Conduct and GDPR Policies

Safeguarding

Bespoke Educational Services is a fully online tutoring service, using the Zoom platform to deliver its tuition. As such, and in the interests of protecting both tutors and their tutees, it is requested that clients of children under the age of 18 remain in the room of their child, during lessons. 

Should this not prove convenient or possible, Bespoke Educational Services reserves the right to record sessions, or part thereof, to be stored as previously indicated. In line with GDPR regulation, should a client wish to review a recorded tutoring session, they have the right to request this.

Pupils are made aware, via the Zoom software, when a recording is in progress, paused or cancelled.

Recordings are stored on the Zoom Cloud Server and not the local devices of Bespoke Educational Services. We cannot, therefore, be liable for the quality, security or other matters pertaining to the recording, processing and storing of such data.

Under no circumstances must any pupil be left at home without the presence of a responsible adult. Tutoring sessions are not a substitute for childcare and should not be deemed as such. If circumstances dictate that an adult is unable to be present, please consider this as reason to cancel your session. If an alternative time is available, it may be offered (see Cancellations and Refund Policy).

Any person aged 18 and under who is in full-time education is, by UK law, deemed a minor. This policy is applicable to all minors.

Where any safeguarding concern arises for Bespoke Educational Services will always try to ensure that parents/guardians are included in any discussions in the first instance. However, understanding that this may not always be possible or appropriate, given the nature of any concern or disclosure made, we may seek advice from appropriate agencies including, but not limited to, any school Designated Safeguarding Lead (DSL); a Local Authority Designated Officer (LADO); the NSPCC or local police agencies. 

Where any concerns arise in regard to Bespoke Educational Services, parents/guardians should feel free to address these in a manner that makes them comfortable. This may be directly to us but may also be by contacting appropriate agencies such as the NSPCC or Thirtyone: eight for advice or by referring concerns to their LADO or local police agencies in confidence.


Code of Conduct

All members of sessions, both tutors and pupils (hereafter referred to as 'members') will refrain from using profane or sexualised language.

Members will refrain from the discussion or disclosure of intimate, personal details of relationships either past or present.

Members will refrain from the use of innuendo or language that might otherwise be misinterpreted or construed in any way other than with the clarity of purpose for which it is intended.

Members will adhere to a form of dress that is appropriate at all times. Comfortable warm/cool attire is appropriate, but toplessness, swimwear, nightwear, underwear etc is not acceptable at any point.

Other than for the purposes outlined in the Safeguarding Policy and GDPR Policy members are strictly prohibited from the taking and sharing of videographic and photographic images.

Members have the right to feel comfortable and safe in all sessions at all times. Any member has the right to express their discomfort and expect this to be addressed immediately.

Information Collection

Bespoke Educational Services treats the protection of its clients’ details, seriously. Details kept include, but are not limited to:

• Name(s) (e.g. pupil, student, main contact) 

• Contact Details (e.g. email address, telephone number) 

• Key Stage/Area of Study (e.g. Key Stage 1 – Literacy)

• Educational Notes (e.g. Pre-/Post-lesson notes to aid the tutor’s planning and delivery)

GDPR

Bespoke Educational Services will always aim to protect the identity and data of all its clients. Information stored on any computer will always be backed-up by an encrypted device and no data will be shared with any third party - unless this is required by law. In such circumstances, Bespoke Educational Services will make all reasonable attempts to inform the client, unless required not to, by law. Should any client wish to access their work, financial or other records, they are entirely within their rights to do so, and Bespoke Educational Services will aim to fulfil their statutory requirement of providing such, within one month from the date of the receipt of the request. 

If, in the unlikely event that a longer processing period is required, Bespoke Educational Services will inform the client and provide a reasonable timeframe, in which they can expect to receive their information.

Any concerns or questions may be directed to the Information Commissioner’s Office (ICO).
